I think you should think about your area and do what you feel is best. I live in a city, and I also have a non-refundable $100 deposit just to get on my schedule (for weddings). But I give them a receipt that states that, because people are searching for loopholes nowadays. I wish I had Carolyn's situation, but it's just not possible with my folks. Then when they finalize the details of their order and we have a final price, we set up a payment schedule. The first payment automatically becomes non-refundable once the second payment is made, and all payments become non-refundable exactly 3 weeks before the wedding when they make their final payment. I set it up that way because I deserve to be compensated for all that advance work, but having had a friend who canceled her wedding and lost a lot of money, I'd like to help people out if I can. If someone had a dire emergency, I'd try to give them something back at less than 3 weeks, if I could.
: What I usually do is take a $100 deposit which I tell them is non-refundable (I don't have a contract and never have had in almost 45 years - small town areas are just different than large cities) because you are taking that deposit to hold their date for them and you can only do so many weddings in a day. It depends on the situation on whether I choose to give it back or not - really good customer like this one is to you, good friend, someone that could ruin my reputation, whatever. Recently, I had a groom that came to me and the bride to be had walked on him and left him with a bunch of credit card bills and he was trying to recoup enough money to pay those. I felt sorry for him and gave him half of the money back and he appreciated even that. In my case, each situation is different and so I do what I think is best. It doesn't happen more than once or twice a year.
